Party Planning Center

Overview

Party Planning Center helps hosts design and execute gatherings that feel effortless and memorable. It provides theme ideas, menu planning, guest-experience design, timelines, and complete checklists—so nothing falls through the cracks.

This skill is for anyone hosting a dinner, birthday, holiday, or casual get-together who wants structure without stress.

When to Use

Use this skill when the user asks to:

  • Plan a party or gathering
  • Host a dinner
  • Find birthday party ideas
  • Create a party checklist or timeline
  • Design a menu for guests
  • Choose a party theme

Trigger keywords: plan a party, host a dinner, birthday party ideas, party checklist, event timeline, menu for guests, how to host, party theme

Workflow

Step 1 — Event Definition

Collect from the user:

  • Occasion (birthday, holiday, casual dinner, milestone, etc.)
  • Guest count and demographics (adults, kids, mixed)
  • Budget range
  • Venue (home, rented space, outdoor)
  • Date and duration
  • Tone desired (elegant, playful, cozy, festive, minimal)

Step 2 — Theme & Atmosphere

Propose 2–3 theme directions that fit the occasion, budget, and venue:

  • Theme concept: Name, color palette, decor vibe
  • Music mood: Genre or playlist direction
  • Lighting & ambiance: Candles, string lights, natural light, etc.
  • Dress code: If any (optional)

Let the user pick or blend ideas.

Step 3 — Menu Design

Build a menu aligned with the theme, guest needs, and host capacity:

  • Dietary accommodations: Vegetarian, allergies, alcohol preferences
  • Service style: Sit-down, buffet, finger food, potluck hybrid
  • Course structure: Appetizer, main, sides, dessert, drinks
  • Prep-ahead strategy: What can be made 1–2 days before
  • Quantity guide: Per-guest portions for each item

Step 4 — Timeline & Tasks

Create a countdown timeline:

  • 1–2 weeks before: Invites, shopping list, decor prep
  • 3 days before: Grocery run, initial prep
  • 1 day before: Cooking, table setup, playlist ready
  • Day of: Final cooking, guest-ready checklist, buffer time
  • During: Host flow (greeting, serving, transitions)
  • After: Cleanup delegation, thank-you notes

Step 5 — Guest Experience Details

Add thoughtful touches:

  • Welcome ritual (drink at the door, name tags, etc.)
  • Conversation starters or icebreakers if needed
  • Seating arrangement (for sit-down events)
  • Parting gesture (favor, leftovers, thank-you)

Step 6 — Contingency Planning

Prepare backup plans for common issues:

  • Extra food for unexpected guests
  • Indoor plan if outdoor
  • Playlist backup if tech fails
  • Quiet space for overwhelmed guests (if applicable)

Templates

Dinner Party

3–6 guests, sit-down, elevated but relaxed. Focus on menu timing and wine pairing.

Birthday Celebration

Any age, theme-forward, photo-worthy moments. Focus on activities and cake.

Holiday Gathering

Mixed generations, traditional + personal touches. Focus on menu variety and flow.

Casual Get-Together

Drop-in style, low prep, high comfort. Focus on easy snacks and self-serve drinks.

Output Format

The output includes:

  1. Event Brief — Occasion, guest profile, tone, budget tier
  2. Theme Plan — Concept, colors, ambiance, music
  3. Menu — Full menu with portions, prep-ahead notes, and dietary labels
  4. Timeline — Countdown checklist from 2 weeks to post-event
  5. Guest Experience Touches — Welcome, flow, and parting details
  6. Contingency Notes — Backup plans for common surprises

Safety & Compliance

  • No encouragement of excessive alcohol consumption
  • No food safety misinformation; always advise proper storage and handling

  • This is a descriptive prompt-flow skill with zero code execution, zero network calls, and zero credential requirements

  2. Menu accounts for dietary needs and host capacity
  3. Timeline is realistic with buffer time built in
